We are looking for an Office Manager to organize, coordinate, and oversee administrative duties and office procedures. Your role is to elevate and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication, and safety.

Office Manager responsibilities include but are not limited to greeting visitors, making office supply arrangements, scheduling meetings and appointments, and providing general administrative support to our employees. Previous experience as a Front Office Manager or Office Administrator would be an advantage. A successful Office Manager should also have experience with a variety of office software (Gmail, Google Drive, etc). Ultimately, the Office Manager ensures the smooth running of the office on a day-to-day basis.


  • Greet visitors hospitably and professionally, maintaining respect and upholding the face of the organization
  • Serve as the point person for all duties related to: Maintenance, Mailing, Supplies, Equipment, Errands, and Shopping
  • Schedule meetings and appointments and provide necessary accommodations required (e.g. coffee or lunch)
  • Receive calls, take messages and route correspondence effectively by utilizing critical thinking and active listening skills
  • Proactively organize office layout, coordinate and order stationery and equipment
  • Maintain office appearance/condition and arrange necessary repairs
  • Liaise with facility management vendors, including cleaning, catering and security services
  • Partner with HR to update and enforce office policies as necessary
  • Assist in on-boarding new hires
  • Assist with office operations and procedures
  • Manage and maintain office supply budget costs
  • Address employee queries regarding office management issues (e.g. stationery, hardware and travel arrangements)
  • Plan in-house or off-site activities, like parties, celebrations and employee events


  • Proven experience as an Office Manager, Front Office Manager or Administrative Assistant
  • Knowledge of office administrator responsibilities, systems and procedures
  • Proficiency in MS Office & iOS software
  • Hands-on experience with office machines (e.g. phone system, fax machines and printers)
  • Familiarity with email scheduling tools like Google Calendar
  • Critical thinker, active listening skills and the ability to de-escalate situations using calm rationale   
  • Excellent time management skills and ability to multitask and prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Positive demeanor and outlook
  • Strong organizational and planning skills in a fast-paced environment
  • A creative mind with a desire to suggest improvements and new ideas
